Office manager for a 14 person marketing agency here. Before this our expense process was people emailing me photos of receipts, some of them screenshots of photos, one guy faxed something once, I still don't know how. We put everyone on a team account with approval rules and spending limits by role. People snap their receipts, I approve from my phone while I'm in line for coffee, done. Month end close used to be my least favorite week and now it's honestly fine. The junior staff figured it out with zero training which tells you something.

Want to like it, and the scanning part is genuinely good, but the Xero integration duplicated a whole batch of my expenses and I didn't catch it until my P&L looked wrong at the end of the month. Spent a Saturday untangling which entries were real. Support did respond and walked me through fixing the connection, and to their credit it hasn't happened again since, but it took a few emails back and forth to get to an actual fix and I was pretty frustrated by the end. If you rely on the accounting sync, check your books closely the first month. I'll update this if it stays clean.

I run a food truck and my margins live and die on supply costs. Set up budget alerts for my main categories mostly out of curiosity, and week three I get a ping that my paper goods spending was already past where it should be for the whole month. Turns out my supplier had raised prices on three items and I never noticed because who reads every line of an invoice. Called them, got it sorted, that one catch covered the subscription for the year. Now I actually know my numbers during the month instead of after it's too late.

It does what it says for the most part. Clean receipts from a chain store scan perfectly every time. Where it struggles is the stuff my business actually generates, faded thermal paper that's been in my pocket all day, handwritten receipts from the flea market vendors I buy from. Those I end up fixing by hand maybe a third of the time. Fixing is fast, to be fair, it's a couple taps. But the ads make it sound like you never type again and that hasn't been my experience. Decent tool, tempered expectations.

I do bookkeeping for a handful of small clients and moved two of them onto Vomoi this year. The QuickBooks connection is the reason I'm here and it does work well, expenses flow over without me having to touch them twice. Taking one star off because the default categories didn't match how my clients' books are set up, so the first couple weeks I was recategorizing a lot until I got the rules dialed in. Once you put that time in though it mostly runs itself. I'd still recommend it, just budget an afternoon for setup.

I run a two man remodeling business and my filing system was the truck glovebox, and when that filled up, a plastic bag behind the seat. My wife does the books and she was about done with me. Now I scan the receipt at the lumber yard counter before I even get back in the truck, takes maybe ten seconds. She logs in on her end and it's all just there, sorted. Only thing we argue about now is the football game. Worth it for the marriage alone.

I'm a freelance photographer and every January I used to spend a full weekend with a shoebox of receipts and a bottle of wine, and honestly the wine was doing most of the work. Started using Vomoi back in the spring, you just take a picture of the receipt when you get it and it pulls the store, the date, the amount, all of it. Did my taxes this year in one evening because the report was already sitting there sorted by category. My accountant asked what changed. That's the review right there.
